Offshore sailors take safety seriously. PFD, jacklines, EPIRB, AIS, life raft, ditch bag, communication gear, weather routing. The at-sea practice has been refined over decades and works as well as any safety culture in modern adventuring. What singlehanders sometimes underbuild is the matching shore-side layer. The practice that makes sure the right people on land know what to do, and on what timeline, if the boat does not arrive when expected.

This article is the case for taking shore-side check-in planning as seriously as you take the at-sea gear list.

What the existing at-sea practice covers

Most experienced offshore sailors already have:

•       Float plan filed with a trusted contact before departure.

•       EPIRB registered, with backup beacons.

•       AIS transponder so commercial traffic can see you.

•       Sat phone or satellite messenger for routine and emergency comms.

•       Predetermined check-in schedule with someone shoreside.

Each of these is critical, and each is active. They require the sailor to be able to act.

Where shoreside plans tend to thin out

What singlehanders often underbuild is the shore-side response plan. The pieces that tend to thin out:

•       What does the trusted contact actually do if a scheduled check-in is missed.

•       Who do they call, in what order. Coast Guard sector, marina, family, employer.

•       What information do they have at hand. Float plan, vessel details, MMSI number, EPIRB hex ID, port of departure, intended ports.

•       When does the response escalate, and what does escalation look like for the specific waters being sailed.

The expected behavior of "someone shoreside" is often informal. That informality is the gap.

Building the shore-side layer

Three components do most of the work.

1.     A structured float plan, updated for each passage, that lives somewhere the trusted contact can access. Not just emailed once.

2.     A passive check-in cadence. Daily during routine passages, with grace periods that match the sailing window. If the cadence is missed, the structured note reaches the trusted contact automatically.

3.     A pre-briefed response sequence. The trusted contact knows what they will call, in what order, with what information. The sequence is documented, not improvised.

Each of these is a small, low-overhead addition to the practice you already maintain.

What the structured note should include

Beyond a standard float plan, the structured note that reaches your shoreside contact should include:

•       Vessel details: name, MMSI, call sign, USCG documentation, vessel description.

•       EPIRB hex ID and registered contact.

•       Marine insurance carrier and policy number.

•       Local rescue authorities for each leg of the passage. USCG sector, foreign equivalents where relevant.

•       Yacht club or marina contact at port of departure and intended port.

•       Medical summary, allergies, blood type, immunizations.

•       Family contact tree, in the order you would want them notified.

Why this layer matters at sea

The asymmetry is severe. At sea, you are alone with your gear. On land, your shoreside contact is alone with their phone. If their phone call has to start with "my friend was sailing alone and I haven't heard from them in a while," the first ten minutes of the response is spent gathering information that you could have given them in advance. The structured note removes that ten minutes. In offshore search and rescue, ten minutes is a lot of water.

What this layer is not

It is not a replacement for an EPIRB. It is not a substitute for a sat phone. It is not real-time tracking. It does not dispatch the Coast Guard on your behalf. It is the layer that ensures the human on the other end of the call has the right information to make the call effective. The at-sea gear handles the at-sea emergency. The shore-side note handles the shore-side response.
